The economics that made this impossible before
Event security is a temporary organization. It exists for a weekend, staffed partly by people who have not worked together before, across a site none of them will return to. Every argument for a shared operating picture applies, and every argument for building infrastructure to get one falls apart on the timeline.
A hosted server changes the shape of that decision. There is nothing to buy, nothing to install and nothing to unwind afterwards. The network exists for as long as you need it and then does not.
Where it earns its place on the day
Two moments, mostly. The first is the medical call: somebody goes down in a crowd, and the difference between a good response and a bad one is whether the responders and the people who can clear a path are looking at the same point rather than the same vague description.
The second is the crowd movement nobody planned for — a queue forming at the wrong gate, a surge toward an exit that was supposed to be one-way. Seeing where staff actually are, rather than where the deployment sheet says they should be, is what lets somebody move six people to the right place in time to matter.
A fixed camera earns its place in both. Video feeds run on the same network as the map, so the view of a gate or a queue reaches the supervisors already looking at where it is, instead of a control room somebody has to telephone.
Contract staff, and taking access back
Event teams are mostly not permanent employees, which makes offboarding a real security question rather than an administrative one. A credential that keeps working after somebody’s last shift is a genuine problem when the credential is access to your live operating picture.
Access is granted and removed in the console. Removing a user removes their access, rather than leaving a valid certificate sitting on a personal phone you have no further claim on.
What it costs for one event
Five devices are free with no card, which covers a small team outright. Past that Team is $3 per user per month, so even a large deployment is priced in tens of dollars for the month the event falls in — a line item, not a capital case.
The other thing worth knowing before a first event: the clients are free and run on ordinary phones. You are not issuing hardware to contract staff, which is usually the cost that kills the idea before anyone has priced the software.
Common questions
Can we run a network for one weekend and then stop?
Yes. Create the network, hand out enrolment packages, work the event, and stop. There is no hardware to return and nothing that has to be decommissioned.
Do contract staff need their own accounts?
They need access to the network, which you grant and then remove. Removing a user removes their access rather than leaving a working certificate on a device that has gone home.
Will it work inside a venue with poor signal?
Wherever the devices have a data connection, including venue Wi-Fi. Load the site plan and imagery in advance so the map itself does not depend on the connection holding.
Can we overlay our own site plan?
Yes. Imagery and overlays load onto the map and travel to every device, so posts, gates, camera positions and medical points are where you put them rather than where somebody remembers them being.
Is this affordable for a single event?
